Who We Are

Information We Collect

When you send a private or bespoke tour enquiry, we collect your name, email address, telephone number and country code, country travelling from, preferred date and whether your dates are flexible, group size, selected age ranges, riding experience, type of tour, occasion where applicable and any message you choose to send. Optional fields may be left blank. Please do not include payment-card details or sensitive medical information in your message.

When you book through TicketingHub, booking information may include the lead guest’s contact details, tour, date, ticket choices, group details, booking reference, payment status and correspondence needed to organise the tour. TicketingHub and the payment services used during checkout process the information entered there under their own applicable privacy information; we receive the information needed to administer your booking.

Our website and service providers may process technical information such as IP address, browser and device information, security logs, cookie preferences and pages visited. If Google Analytics is enabled, it is used only after you consent to analytics. It may collect device and browser information, page views, interactions and cookie identifiers. Cookie categories: strictly necessary; analytics, only with consent.

You provide enquiry information directly. Booking information is supplied through TicketingHub or by the person booking for your group. If you provide another person’s information, make sure they know about this policy and only provide information needed for the enquiry or booking.

Why We Use It And Our Lawful Bases

• To prepare a quote, answer a booking request and organise and deliver a tour: steps at your request before entering a contract, or performance of our contract with you.
• To answer general enquiries and manage correspondence: our legitimate interest in responding to people who contact our business, balanced against their privacy rights.
• To maintain necessary accounting and tax records: compliance with applicable legal obligations.
• To protect the website, prevent spam, manage complaints and establish, exercise or defend legal claims: our legitimate interests in security and responsible business administration, subject to the required balancing assessment.
• To use optional analytics cookies and Google Analytics: your consent. Enquiring or booking does not give consent to analytics or marketing.

We need the required enquiry fields to respond and plan for your group. Without necessary booking information, we may not be able to arrange or fulfil a booking. You can contact us by email if you cannot use the form.

Cookies And Your Choices

Strictly necessary cookies may be used for essential site functions, security and remembering your cookie choices. Optional cookies, including Google Analytics, are used only with your consent. You can reject optional cookies or change your choices using the cookie controls. Withdrawing consent does not affect processing carried out lawfully before withdrawal. Refusing analytics does not prevent you from making an enquiry or booking.

Who We Share Information With

• TicketingHub, for booking management and the services involved in its checkout.
• Our email hosting provider, for receiving and replying to enquiries and booking correspondence.
• Our website hosting provider, Namecheap, for hosting the website and FormLayer enquiry records.
• Google, only where you have consented to Google Analytics.
• Where necessary, guides involved in delivering your tour, professional advisers, insurers, payment providers or public authorities for the relevant service, legal obligation or claim.

We share only information necessary for the stated purpose. Provider roles, processing locations and any additional processors must be checked before publication.

International Transfers

Google Analytics may process data in the USA, protected by the UK–US data bridge and/or Google’s standard contractual clauses, as applicable. TicketingHub may process data outside the UK, with appropriate safeguards in place. For details of safeguards, please contact info@southlondonbiketours.com.

How Long We Keep Information

• Enquiry form data: kept for 12 months, then deleted.
• Booking and accounting records: kept for 6 years, to meet tax and legal obligations.
• Google Analytics user-level and event-level data: kept for 14 months once analytics goes live. Cookie consent records: kept for 12 months. The GA4 data-retention setting does not govern standard aggregated reports.

We keep information only as long as needed for its purpose. A relevant complaint, legal obligation or legal claim may require particular records to be retained longer. Records should then be deleted or anonymised when no longer needed. Backups are overwritten or deleted within 90 days.

Your Rights

Depending on the circumstances and lawful basis, you may request access to your information, correction, erasure, restriction of processing or a portable copy. You may object to processing based on legitimate interests and withdraw consent where we rely on it. These rights are not absolute; for example, we may need to retain records to meet a legal obligation or deal with a claim.

Send requests to info@southlondonbiketours.com. We may need proportionate information to verify your identity. We normally respond within one month, subject to lawful extensions or other applicable exceptions.

Complaints

Please contact us if you are concerned about how your information is used. You also have the right to complain to the Information Commissioner’s Office, the UK supervisory authority: ico.org.uk/make-a-complaint/.

Automated Decision-Making And Profiling

We do not carry out automated decision-making or profiling. Any additional use of sensitive personal information and the applicable lawful basis and special-category condition must be identified before that processing starts.

Changes To This Policy

We will update this policy when our processing changes and show the revised date. Material new uses will be explained before they begin where required.
